| | | | | | | | | SUBJECT: Purchase of One (1) Kubota KX040-5R3 Excavator |
|
| | | | | | | | | 1. | BACKGROUND/HISTORY | | | Issue Statement: As outlined in the City's Vehicle Replacement Schedule, replacing City vehicles and equipment that have exceeded their useful life reduces maintenance costs, improves reliability, and supports service delivery. New equipment enhances efficiency, aligns with environmental sustainability goals, and reflects the City's commitment to excellence and professionalism.
Staff wishes to purchase one (1) Kubota KX040-5R3 excavator utilizing Sourcewell Cooperative Master Agreement #112624-KBA (attached), which will be used to dig trenches for sewer lines. The purchase will be made from Florida Coast Equipment, LLC, a licensed Kubota dealer and awarded vendor under that co-op agreement, which is available for use by public agencies, including the City of Oakland Park.
Recommended Action: City Commission adopt a resolution authorizing the purchase of one (1) Kubota excavator from Florida Coast Equipment, LLC, through Sourcewell Cooperative Agreement No. 112624-KBA, and approving the proposed budget amendment in the amount of $70,253. |
|
| | | | | | | | | 2. | CURRENT ACTIVITY | | | The Public Works Fleet Division conducts an annual assessment of all City vehicles and equipment as part of the budget development process. Each fleet unit is evaluated based on mechanical condition, operational reliability, and maintenance cost. Equipment demonstrating significant wear or escalating maintenance expenses are identified for replacement. These evaluations form the basis of the City's Five-Year Replacement Plan, which is incorporated into the annual adopted budget.
As part of the FY 2024 Adopted Budget, $75,000 was allocated for the replacement of unit #551, a 22-year-old 2004 Bobcat 322 mini excavator with 1,063 hours that is used by the Wastewater Division. Fleet staff has extended its useful life; however, due to age, and reliability concerns, this unit is now in need of replacement. The proposed replacement equipment is a Kubota KX040-5R3 excavator. |
|
| | | | | | | | | 3. | FINANCIAL IMPACT | | | As reflected in the attached quote from Florida Coast Equipment, LLC through Sourcewell Cooperative Agreement No. 112624-KBA, the total cost of the Kubota KX040-5R3 excavator is $70,252.63.
Funding for this purchase was originally appropriated in the FY 2024 Adopted Budget; however, due to an extension of the asset’s useful life, the expenditure was deferred to the current fiscal year. The proposed Budget Amendment to bring over the funds is attached as Exhibit C.
The proposed expenditure is as follows:
