| | | | | | | | | 1. | BACKGROUND/HISTORY
| | | Issue Statement:
The Fire Department utilizes the US Digital Designs (USDD) Phoenix G2 Fire Station Alerting System at the City's three fire stations. The system requires annual service and maintenance to maintain system reliability and provide access to software updates, technical support, and equipment repair.
The agreement provides for an initial one-year term and four additional one-year renewal terms. On November 5, 2025, the City Commission adopted Resolution No. R-2025-206 approving the first one-year renewal for the period October 1, 2025 through September 30, 2026.
The current agreement expires September 30, 2026. Staff is requesting approval of the second one-year renewal for the period October 1, 2026 through September 30, 2027. Following approval of this renewal, two additional one-year renewal options will remain.
Recommended Action:
Staff recommends the City Commission adopt a resolution approving the second one-year renewal with Keylite Power & Lighting Corp. and US Digital Designs for service and maintenance of the City's fire station alerting systems for the period October 1, 2026 through September 30, 2027, utilizing Broward County Contract No. R1426611P1, in an amount not to exceed $33,155.32. |

| | | | | | | | | 2. | CURRENT ACTIVITY
| | | The City currently utilizes the US Digital Designs (USDD) Phoenix G2 Fire Station Alerting System, a critical component of the City's emergency dispatch infrastructure. This IP-based system provides automated, "heart-friendly" alerting tones, lighting, and clear text-to-speech dispatching to notify fire crews of incidents, which has proven to reduce response times and minimize stress on both dispatchers and first responders.
The current service agreement will expire on September 30, 2026; however, approval of the second renewal with Keylite Power & Lighting Corp. will provide continuous coverage through September 30, 2027. |

| | | The annual cost to maintain the fire station alerting system is $33,155.32, as shown in the attached proposal and based on Broward County Contract No. R1426611P1. Funding is included in the Fire Rescue Department’s FY 2027 Proposed Operating Budget and will become available upon the City Commission’s adoption of the proposed budget in September. |
