SUBJECT: Contract Renewal for Tree Trimming and Maintenance Services
1.BACKGROUND/HISTORY
    
 

Issue Statement: The City regularly needs the services of a tree trimming contractor to assist its Public Works Department in trimming and maintaining trees in the public rights-of-way, parks and city facilities.  In 2018, the City issued Invitation to Bid # 071218 for these general tree trimming and maintenance services. 

 

 Landscape Service Professionals was awarded the bid and the initial 3-year contract term will expire December 1, 2021. The existing contract may be renewed for two (2) additional 2-year periods, subject to the mutual agreement of both parties. Both parties have agreed to the first renewal of the contract for one additional 2-year period under the same terms, conditions and pricing. 

 

 

Recommend Action:   The City Commission adopt a resolution approving the renewal of service contract for the first two (2) year term with Landscape Service Professionals.

 

Background: The City is responsible for maintaining an estimated 2,500 trees. These trees are located in parks, medians, shoulders and other City owned properties. Proper maintenance of individual trees includes structural pruning, lifting for clearance, removal of dead or dangerous branches, and shaping for balance.

 

The contract includes the following services:

 

  • Tree pruning and shaping per the National Arborist Association pruning standards for shade trees: crown raising 10 feet above sidewalk and swale and 15 feet above roadway. Costs based on diameter of trunk,  ≤ 17”, 18”- 36” and ≥ 37”.
  •  Palm pruning. Remove dead and damage fronds, fruits and pods. Costs based on height of tree, ≤ 25’ and ≥ 26’.  

 

2.CURRENT ACTIVITY
    
 

Both parties have agreed to the first renewal of the contract for one additional 2-year period under the same terms, conditions and pricing. 

 

 If approved, this renewal will cover the period beginning December 1, 2021 and ending November 30, 2023.  One additional two (2) year renewal option will remain.  

3.FINANCIAL IMPACT
    
 

Future services will be performed on an as-needed basis and will use funds approved in the FY 22 Operating Budget of Public Works - Parks Maintenance Division for tree trimming and pruning. No single project is estimated to cost over $25,000 and work will be performed using the same unit pricing from 2018. The annual estimated expenditure is $60,000.

4.RECOMMENDATION
