SUBJECT: Award of Invitation to Bid # 111821 for Automotive Parts and Batteries
1.BACKGROUND/HISTORY
    
 

Issue StatementThe City of Oakland Park's Fleet Maintenance Division provides maintenance and repair services to City owned and operated motorized vehicles and regularly purchases a broad range of automotive parts from multiple local retailers.  The parts purchased are used in trucks, cranes, solid waste vehicles, and other heavy-duty equipment necessary for day-to-day City operations. In order to provide an effective inventory of parts and to improve efficiency of procurement of parts the City maintains multiple contracts for automotive parts and batteries.  

 

 

Recommended ActionThe City Commission adopt a resolution finding the following bidders responsive and responsible (Battery Express, Inc.; M&H Automotive, Inc.; O'Reilly Automotive Store, Inc., and; Parts Authority, LLC) and authorizing the proper city officials to execute agreements with each bidder for an initial 1-year term, with options to automatically renew for four (4) additional 1-year terms upon mutual acceptance by the parties.   

 

History:  The City of Oakland Park Fleet Maintenance Division repairs and maintains all city owned vehicles and motorized equipment and requires aftermarket parts, as well as batteries, to properly maintain automobiles, light and heavy-duty trucks, and heavy equipment. 

2.CURRENT ACTIVITY
    
 
On December 2, 2021, Invitation to Bid - ITB #111821 was issued for Automotive Parts and Batteries. The purpose of the ITB is to obtain quality aftermarket parts and batteries for use in the City's fleet, and to address the City's just-in-time delivery schedule to meet the goals of having a effective inventory of parts and to improve efficiency of procurement of parts. Automotive parts are required for a variety of vehicles including heavy- duty trucks. To ensure the availability of many manufacturer’s parts, it is recommended that the City contract with the four (4) most responsive and responsible bidders.

  • Parts Authority, LLC

 

Staff will utilize the most advantageous bid pricing available on specific items as needed.

 

3.FINANCIAL IMPACT
    
 Approving the agreements with each of the responsive and responsible bidders does not have an immediate financial impact.  Expenditures are incurred as auto parts and other automotive supplies are purchased from any of the vendors.   Sufficient funds are included in the FY22 operating budget of the Fleet Division for Operating Supplies – Auto Parts for these purchases. 
4.RECOMMENDATION
