Truck Maintenance and Repair Service Agreement

1.BACKGROUND/HISTORY
    
 

Issue Statement:  The City Public Works Department Fleet Management Division is responsible for the maintenance of the City's fleet. This includes over 200 vehicles in sizes ranging from golf carts to fire engines, and utility equipment (i.e. mowers, backhoes, trailers). The City is seeking a specialty service provider with competitive rates to provide service to the fleet's heavy duty service trucks such as solid waste, vacuum trucks for wastewater and stormwater services.  

 

Recommended ActionThe City Commission adopt a resolution authorizing the use of the City of Deerfield Beach Contract RFQ #20-17-PC for Maintenance and Repair Service with Truck Master for  the City's heavy duty service trucks in an amount not-to-exceed the budgeted availability within the Public Works Fleet Management Division.  

 

2.CURRENT ACTIVITY
    
 

The City of Oakland Park Fleet Management Division repairs and maintains all city owned vehicles and motorized equipment and at times must send extensive repair jobs out for the heavy duty trucks to specialty service providers. 

 

Oakland Park's contract with Truck Master will utilize the terms and conditions of the Deerfield Beach contract.  The City of Deerfield Beach Contract term is April 13, 2020 and ends on April 12, 2022 with rights to renew for three (3) additional one (1) periods.  Staff have been advised that the contract will be renewed by Deerfield Beach.  Oakland Park's contract with Truck Masters will remain in force as long as the Deerfield contract is active, putting the maximum term of the agreement to April 2025 if Deerfield elects to exercise all renewal options.

3.FINANCIAL IMPACT
    
  There is no direct financial impact  in authorizing the use of the City of Deerfield Beach Contract RFQ #20-17-PC for Maintenance and Repair Service with Truck Master for the City's heavy duty service trucks.  Expenditures are incurred on an as-needed basis. Individual service repairs may be under the $25,000 threshold.  However, cumulative purchases under this contract will exceed $25,000, but will not exceed the amount available in the FY22 budget of the Fleet Management Division's Repair and Maintenance budget.
4.RECOMMENDATION
    
 The City Commission adopt a resolution authorizing the use of the City of Deerfield Beach Contract RFQ #20-17-PC for Maintenance and Repair Service with Truck Master for  the City's heavy duty service trucks in an amount not-to-exceed the budgeted availability within the Public Works Fleet Management Division.
