| | | | | | | | SUBJECT: Approval Deerfield Beach Contracts for Water Meter Fitting and Water Line Accessories Purchases |

| | | | | | | | 1. | BACKGROUND/HISTORY | | Issue Statement: The Public Works Department is responsible for the maintenance of water, wastewater and stormwater pipes, drains, lift stations, fire hydrants, valves, etc. throughout the City. This maintenance requires the purchase of water meter fittings and water line accessories on a regular basis.
As an active member of the Southeast Florida Purchasing Cooperative Group (Co-op), we participated in the Water Meter Fittings and Water Line Accessories Invitation to Bid (ITB) issued by the City of Deerfield Beach, ITB #2018-19/12, to purchase these parts in volume at discounted pricing. In March 2019, Deerfield Beach awarded contracts to these suppliers for this purpose:
- Core & Main LP
- Empire Pipe & Supply
- Ferguson Waterworks
- Fortiline, Inc.
- Lehman Pipe and Supply
The first 3-year term of these contracts expired on March 5, 2022, and the City of Deerfield Beach exercised its right to renew each contract the first 1-year period beginning March 6, 2022 and ending March 5, 2023. Two (2) additional 1-year renewals remain. Price adjustments were requested by Core & Main LP and Empire Pipe & Supply and approved.
Recommended Action: The City Commission adopt a resolution authorizing staff to utilize the contracts awarded (Core & Main LP, Empire Pipe & Supply, Ferguson Waterworks, Fortiline, Inc., and Lehman Pipe and Supply) by City of Deerfield Beach under ITB #2018-19/12 to purchase water meter fittings and water line accessories up to the budgeted availability.

| | | | | | | | 2. | CURRENT ACTIVITY | | The initial 3-year contracts expired March 5, 2022, and the City of Deerfield Beach executed the first 1-year renewal of each contract for the period beginning March 6, 2022 and ending March 5, 2023. Copies of the contract renewals and associated amendments, which include price adjustments, are attached. |

| | | | | | | | 3. | FINANCIAL IMPACT | | There is no direct financial impact in approving the use of the City of Deerfield Beach contract #ITB 2018-19/12. Costs are incurred only upon purchase of various water meter fittings & water line accessories from Core and Main.
As mentioned above, the Public Works Department spent about $115,000 in FY 2021 for purchases of various water meter fittings & water line accessories for water, sewer and storm water operations within Public Works. Accordingly, sufficient funds are provided for in the FY 2022 Operating Budget of the Public Works Department for this purpose. |
